One platform for the work between your ERP and your bank account.

Independent distributors and retailers run on spreadsheets, inboxes and paper forms. Aasra replaces them one tool at a time.

Every tool is built from real distribution and retail work, and they all share one sign-in, one set of data and one place to look. Your team signs in with its Microsoft or Google account, and your data stays in its own space.

Being built now

Rebate & Growth Program Tracker

Every vendor program in one place, claims built from your sales, and every check matched to the claim it paid.

See how it works ↓

Coming next

Credit applications

New-account credit apps and trade references, online instead of on a fax.

Reporting pack

The weekly and monthly reports owners and vendors ask for, ready before they ask.

Route profitability

See what every route and customer actually earns after the cost of getting there, so you know which accounts are worth the trip.

Data uploads

Drop in your ERP exports and every Aasra tool stays current.

AI that does the tedious part. You make the call.

We're building AI into every Aasra tool where it saves real hours. It always shows its work, and your team always has the final say.

Reads the deal sheet

Drop in a vendor's PDF or email and Aasra drafts the program, items, rates and dates, ready for you to check and save.

Matches the money

When a check or deduction comes in, Aasra suggests which claims it covers and flags anything that doesn't add up.

Answers in plain English

Ask which deals end this month or what a vendor still owes, and get the answer with the records behind it.

Spots what you're missing

Aasra looks across your sales for programs you're under-claiming and items that should qualify but aren't on the deal.

What does Bayside still owe us?

Ask about your programs, claims or payments…

We started with rebates, because that's where the money leaks first.

Almost every independent distributor and retailer has vendor money it earned and never collected. It usually slips away in one of three ways.

i.

The deal lives in ten places.

Terms in an email, items in a PDF, the rate in someone's spreadsheet. When that person is out for a week, so is your rebate program.

ii.

Deadlines pass without a sound.

Programs end and claim windows close, and nobody gets a reminder. Money you already earned turns into money you can't ask for.

iii.

The check doesn't explain itself.

One payment covers last quarter, part of this one and a revision. Working out what's still owed takes an afternoon.

Meet product one: the Rebate & Growth Program Tracker.

Here's a single billback from Bayside Bakeshop, run through the tracker at Harbor Foods, our demo distributor. Same deal, start to finish.

Load the deal once.

Bayside sends over their Q3 billback. Pick the type, choose the five items that qualify, and enter each rate per case. Or drop in their PDF and let Aasra draft it for you to check.

From here on, nobody has to remember it exists.

The tracker speaks every kind of vendor deal.

It handles the four kinds of vendor money independents deal with most. Each one can cover a whole vendor or only the items that qualify.

Billbacks

The everyday vendor rebate, in dollars per case or percent of sales, claimed back on the vendor's schedule.

Growth programs

Tiered payouts for beating last year. Every vendor writes these differently, so Aasra lets you set the measure, the base, whether tiers pay on all volume or only the lift, and when it settles.

Millbrook 2027 GrowthCases · base 12,400 · paid on lift · quarterly
Tier 1
Up to 5% over base
$0.25 / cs
Tier 2
5% – 10% over base
$0.40 / cs
Tier 3
More than 10% over base
$0.60 / cs

Pickup allowances

Credit for sending your own trucks to the vendor's dock. Easy to earn, easy to forget to claim. Not anymore.

Promotions

Short-window deals on specific items. Aasra keeps the start and end dates so the deal is claimed before the window shuts.

Aasra means support: the thing you lean on when the load gets heavy.

I picked the name because that's what the back office of an independent distributor or retailer needs. The national players have teams and custom systems watching every vendor dollar. Most independents have a spreadsheet and one very busy person.

I am that person. I manage data, systems and pricing for an independent food distributor in New York, vendor rebates included. I know where the money slips: the deal sheet nobody filed, the claim window that closed last Tuesday, the check that pays three things at once.

Aasra is the set of tools I wished I'd had, starting with the one I needed most. Each one is built for how an independent distributor or retailer actually runs, sized for your team and priced for your margins.
